Mass Email — Informs

Send at Least One Full Working Day Ahead

Every Inform is reviewed by a person before it goes out, and borderline messages go to a second reviewer. Build in that time: submit at least one full working day before your event, and longer is safer. Last-minute requests may not go out at all.

Informs is how you reach an entire campus audience by email — every student, every faculty member, or every staff member at CMC. You do not need an account or a form: you send your announcement to a list address, ITS reviews it, and approved messages go out to that audience.

Where to Send It

For CMC audiences, email your announcement to the list you want to reach:

Reaching the Other Claremont Colleges

There is no single address that reaches all seven colleges. To reach another college, send a separate message to that college using the same pattern — students@hmc.edu, faculty@pomona.edu, staff@scripps.edu, and so on. Valid handles are CGU, CMC, HMC, Pitzer, Pomona, Scripps, and KGI.

Each college decides separately. Approval at CMC does not carry to the others. Every college runs its own review and decides on its own whether to send your message.

Before You Hit Send

Check all of these. A message that misses any one of them is likely to come back to you rather than go out:

  • Sent at least one full working day before the event — longer is safer, and last-minute requests may not go out.
  • Sent from your full official address (mary.jones@claremontmckenna.edu, not mjones@…).
  • Includes a specific calendar date. “Next Thursday” will get rejected.
  • Includes the exact location, physical or virtual.
  • Includes a phone number or other way to reach you.
  • No attachments. Use a web link instead, or ask ITS about a public folder.
  • Accessible: all key information — times, dates, logistics — in plain text in the body, and any flyer or image carries alt text.
Why the accessibility rule matters here. An Inform that puts the date, time, and location only inside a flyer image is unreadable to anyone using a screen reader, and unreadable to anyone whose mail client blocks images. Put the details in the body text; the flyer is a bonus, never the only copy.

What Gets Rejected

  • Classified ads — items for sale, housing, lost and found, personal notices.
  • Reminders or repeats of something already sent.
  • Unrecognized senders — anything from a group that is not an officially recognized Claremont Colleges group, department, or sponsored event.
  • Commercial pitches — for-profit ventures or fundraising solicitations.

What Happens After You Submit

ITS reviews every Inform message. If anything is unclear or borderline, it goes to a second reviewer before it is sent:

  • Student lists — the Dean of Students
  • Faculty lists — the Dean of the Faculty
  • Staff lists — the Director of Human Resources

That second review takes time, which is the main reason to send early rather than the morning of.
